The Administrative Assistant performs various accounting and clerical duties and assists project management and foremen with maintaining an efficient job site while providing customer assistance.
This person also performs various accounting tasks, file and record maintenance, payroll preparation, report preparation, estimating support, new hire paperwork, and other clerical duties, as assigned.
This role also assists project management in coordinating resources, schedules and subcontractors for on-site activities.

Responsibilities Process routine paperwork:
Invoices, submittals, etc.
Assist estimators in all aspects of the estimating process (vendor solicitation, bid document preparation and distribution, etc.
) Compare vendor/subcontractor invoices to purchase orders or contracts to verify quantities, price, payment terms, freight charges, extensions, etc.
Compute discounts, make sales/use tax determinations and enter invoices online for payment Perform miscellaneous duties, such as word processing and submittals copying and collating, subcontractor and/or vendor correspondence and customer service Assist in doing Final Closeout for Projects Establish and maintain files in accordance with KNA filing protocol as directed by the supervisor for payroll, accounts payable, general accounting documents and job site filing system Perform invoice preparation Resolve discrepancies on invoices or reports by interfacing with other departments, vendors (Contractors) and clients Process training for new hires Check on availability, schedule shipments, gather information, and correspond with vendors via phone/mail/fax Assist in monitoring jobsite safety issues Assist Foreman and superintendents with field-related problems Code payables Distribute all pertinent information to project management Prepare plans for submittal to project owner Monitor office supply inventory Assist project managers with labor union notification/communication Work closely with the IT Department to ensure the accessibility of information Qualifications Two years' construction industry accounting and clerical experience preferred Knowledge of general office procedures Experience using Microsoft Office Suite, Viewpoint, Expedition Knowledge of construction/field operations Strong decision-making and problem-solving skills Ability to interact and communicate effectively with others Demonstrated leadership skills Ability to manage multiple priorities; flexibility in performing tasks Detail Orientated Ability to remain on task with numerous interruptions Self-motivated Benefits Medical & Dental Insurance Paid Parental Leave 401(k) Savings Plan w/company match Profit Sharing Dependent Care and Health Care Reimbursement Plan Life Insurance & Dependent Life Insurance Short-Term & Long-Term Disability Holidays/Vacation/Sick Pay Educational Assistance Computer Purchase Program Hiring Range:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
