This role plays a vital part in our commitment to exceptional customer service.
As a Resource Coordinator, you will be responsible for efficiently managing and coordinating appointments between individuals like homeowners, business owners, attorneys, and insurance adjusters with our network of inspection experts.
You will play a crucial role in ensuring that inspections are scheduled promptly and that both parties are well-informed about the process.
Your superior communication, both written and oral, and exceptional organizational skills will be key to your success in this role.
Key
Responsibilities:
Appointment Scheduling:
Receive inspection requests from customers such as insurance carriers or attorney offices via phone, email, or online portal.
Coordinate with field experts to determine availability and schedule appointments accordingly.
Confirm appointment details with all parties, including date, time, and any specific requirements.
Communication:
Act as the primary point of contact between all parties, ensuring they are well-informed and updated on appointment details.
Notify parties of any changes or delays in the inspection schedule and reschedule appointments as necessary.
Record Keeping:
Maintain accurate and up-to-date records of all appointments, including contact information, field expert assignments, and any special instructions.
Customer Service:
Provide exceptional customer service by addressing inquiries, concerns, or requests in a timely and professional manner.
Ensure a positive and reassuring experience for all parties throughout the scheduling process.
Efficiency and Optimization:
Continuously seek ways to optimize the scheduling process for increased efficiency and improved customer satisfaction.
Collaborate with the Administrative Operations Manager to implement process improvements as needed.
Qualifications:
High school diploma or equivalent; some college education preferred.
Previous experience in appointment scheduling and customer service is essential.
Strong communication and organizational skills and impeccable attention to detail.
Enthusiasm for providing excellent customer service.
Ability to work in a fast-paced environment and adhere to tight deadlines by organizing, prioritizing and completing multiple tasks.
Tech-savvy across multiple software platforms, ideally including working knowledge of Google Workspace (Gmail, Google Drive, Google Docs, Google Sheets).
Flexibility to occasionally work evenings and weekends, as needed.
Hybrid work schedule of 1-2 days remote is possible after 90 day training period.
