We are seeking a highly motivated Executive Assistant to join our team in our Castle Rock, CO office.
This position will be responsible for providing support to the Chief Operating Officer and General Counsel while overseeing receptionists for our acquired companies.
The Executive Assistant serves as a key liaison to the Board of Directors, The Executive Assistant will work under the direction of the Chief Operating Officer.
The ideal candidate will be professional, adaptable, dedicated, and highly experienced.
Occasional travel should be expected.
Key Duties &
Responsibilities:
Provide support to the Chief Operating Officer and General Counsel.
Oversee receptionists for HEI Civil, Peabody General Contractors, and Horsepower Site Services.
Create and design high-level presentations, complex reports, confidential correspondence, and files.
Schedule internal and external meetings, coordinate all logistics and details, provide relevant preparation materials, and ensure appropriate follow-up.
Coordinate travel arrangements for the executive team and board members, including flights and lodging.
Plan and oversee logistical arrangements for board and board committee meetings, including space and facility needs, meals and refreshments, supplies, and technology.
(Quarterly meetings are held in Colorado, Texas, and North Carolina.
) Update executives on changing business needs by thoroughly documenting internal and client meetings.
Draft and produce legal contracts, management agreements, and other business correspondence.
Follow attainable project timelines and keep teams on task to complete milestones according to the schedule.
Ascertain and preserve the confidentiality of all company communications and documentation.
Other duties as assigned.
Required Knowledge, Skills, and Abilities:

years experience in administrative assistant duties required Bachelor's Degree preferred Experience managing multiple people required Experience working for a management company overseeing multiple companies preferred Professional, adaptable, and dedicated Ability to lead multiple projects and meet deadlines on time Ability to work independently and unsupervised, but also as part of a team Time management and organizational skills required Job Type:
